Hello, I need help drafting the wording for a rule that can be set to trigger a message only for external senders without affecting internal users.

I've attached the message I'm receiving when I try to save it only with a message for outside the organization

thank you for your help!

    Hi Jean Ann. Powers

Thank you for reaching out to the Q&A Forum.

I cannot see the screenshot you attached to your post as you mentioned, but based on your description, it sounds like you are trying to configure a Mail Flow Rule (Transport Rule) in the Exchange Admin Center, or an Outlook Inbox Rule to send an automatic response specifically to external senders.

Depending on exactly how you are setting this up, here is the recommended solutions to ensure it only triggers for external users.

You are an Admin using the Exchange Admin Center (EAC)

If you are trying to create a system-wide rule, you must ensure the condition is set to "Outside the organization."

Go to the Exchange Admin Center > Mail Flow > Rules > Add a rule > Create a new rule

    • Apply this rule if: Select The sender.. is external/internal > Then choose external.
    • Do the following: Select your desired action (ex: Notify the recipient with a message...).

Note on Auto-Replies via Transport Rules: Exchange Online does not have a native "Reply with message" action in Transport Rules to prevent mail loops. If you are trying to construct a rule that "replies" with a standard email body, you will likely get an error or find the option missing. You can usually only "Reject" with a short note or prepend a disclaimer.

You are creating an Outlook Inbox Rule (Client Side)

If you are trying to set up a rule in Outlook to "reply using a specific template" but want to exclude your coworkers:

    • Go to *File > Manage Rules & Alerts > New Rule > *Start from a blank rule: Apply rule on messages I receive.
    • Conditions: Select Sent to me (or leave blank for all messages).
    • Action: Select have server reply using a specific message (choose your template).
    • Exceptions (Crucial Step):
      • Tick the box: except if sender is in specified Address Book.
      • Click "specified" and select your organization's Global Address List (GAL).

Since I cannot see your attachment, if these steps above are still not work, could you please share again the exact error message you are receiving in private message and please let me know which method you are using (Admin Center or Outlook) and the text of the error?

I hope this helps, and I look forward to your response.

Use an automatic reply configuration that separates internal and external senders rather than a transport rule.

In Outlook on the web (Exchange Online):

    1. Open Outlook on the web and go to Settings (gear icon).
    2. Select Mail > Automatic replies.
    3. Select Send automatic replies.
    4. (Optional) Select Send replies only during this time period and set start/end if needed.
    5. In Send a reply once to each sender inside my organization with the following message, either:
      • Leave the box empty (no internal auto‑reply), or
      • Enter a different internal‑only message.
    6. Check Send automatic reply messages to External Senders.
    7. Choose one of:
      • Send replies only to senders in my Contacts list, or
      • Send replies to anyone outside my organization.
    8. In the external message box, enter the wording that should go only to external senders.
    9. Select Save.

With this setup, only external senders receive the external message, and internal users are unaffected (or receive a different internal message if desired). If the error appears when saving, ensure that when Send automatic replies is enabled, at least one of the internal or external message boxes has valid text if required by the UI, and that the external options are correctly selected.
