    Dear Benjamin Treuhaft

Thank you for reaching out to the Microsoft Q&A forum. I understand that after moving to a new MacBook Air, all mail is missing in New Outlook for Mac and also missing in the Outlook website, and you also can’t send mail, while your iPhone still appears normal. I am happy to assist you.

When you sign in on the Outlook website, is it definitely the same exact email address/alias as the one working on the iPhone (not a different alias or different account)? Please also:

    • Check Microsoft cloud storage/mailbox quota first
      • If Microsoft cloud storage is full, you cannot send or receive email (and messages sent to you while storage is full can be bounced and unrecoverable).
    • Verify the mail isn’t simply in another folder/tab on Outlook.com
      • Use the missing email checklist on Outlook.com: check Junk Email, Other (Focused Inbox), and Deleted Items, and if needed use Recover items deleted from this folder in Deleted Items.
    • For the Mac client: confirm Outlook is online and connected
      • Verify Work Offline is not enabled and ensure the Mac has network access; then verify the account credentials/settings in the account preferences.

Please keep updating if you encounter any further issues and I will be happy to help. Have a nice day!

Follow these steps in order, checking after each step:

    1. Confirm Outlook is online on the Mac
    • In Outlook for Mac, on the Outlook menu, make sure Work Offline is not checked. If it is, clear it so Outlook can connect.
    1. Verify the Mac has Internet access
    • Use Safari or another browser on the Mac to open any website.
    • If websites do not load, fix the Mac’s network connection first; Outlook will not sync mail without Internet access.
    1. Check mailbox storage and service status
    • If Microsoft cloud storage is full, sending and receiving stops. Check mailbox storage using the mailbox storage link in the Outlook.com help article and free up space if needed.
    1. Check Outlook.com directly for filters, rules, and junk Since mail is missing on the Outlook website as well, sign in to Outlook.com in a browser and check:
    • Junk Email folder: If messages are there, select them and choose Not junk.
    • Deleted Items folder: If messages are there, select and Restore them. If needed, in Deleted Items select Recover items deleted from this folder and restore.
    • Archive folder: If messages were archived, move them back with Move to > Inbox.
    • Filter menu: Set Filter to All and sort by Date so messages are not hidden by filters or sort order.
    • Focused/Other: If Focused Inbox is on, check the Other tab and move any misfiled messages back to Focused inbox.
    • Rules: In Rules settings, look for any rule that moves or deletes new mail and disable or delete incorrect rules.
    • Forwarding: In Outlook.com settings, verify there is no forwarding configured to another address.
    1. Check for junk/blocked settings and external apps
    • In Outlook.com, review Junk Email settings and the Junk Email folder. Mark legitimate messages as Not junk so future mail is delivered correctly.
    • If any third‑party mail apps are connected to the account using POP/IMAP, they might be moving or deleting mail. If IMAP or POP are enabled and causing issues, disable them as described in the Outlook.com POP/IMAP settings article.
    1. Verify account configuration in Outlook for Mac If Outlook for Mac still cannot send or receive while iPhone works:
    • On the Mac, open Outlook and go to Tools > Accounts.
    • Select the account and confirm the email address, username, and password are correct.
    • If using POP/IMAP, confirm the incoming and outgoing server names, ports, and SSL settings match the provider’s requirements. Some accounts require SSL or non‑default ports.
    • Under Outgoing server, if using POP/IMAP, open More Options and enable SMTP authentication with the correct credentials.
    1. Check for firewall, proxy, or server issues on the Mac
    • If on a corporate or restricted network, a firewall or proxy may block the mail servers. Try another network (for example, home Wi‑Fi or mobile hotspot) and test Outlook.
    • If the network requires a proxy, configure the mail proxy in macOS System Settings as provided by the network administrator.
    • If the account previously worked and suddenly stopped, the mail server itself may be unavailable; confirm with the email provider or admin.
    1. If using the new Outlook for Mac and it fails to sync
    • If the new Outlook client on Mac is stuck or repeatedly failing, clear its local state and let it resync from the server:
      • Close Outlook.
      • Run the olk.exe --clearLocalState command as documented in the Q&A thread, then reopen Outlook and sign in so it can rebuild the local cache from Outlook.com.
    1. If only one address is affected
    • If one specific address is not receiving mail, look again for hidden or unexpected rules (for example, rules diverting mail to RSS feeds or other folders) and remove them.

If, after these checks, mail is still missing from Outlook.com itself (not just the Mac), focus on Outlook.com folders, rules, junk, and storage, because the iPhone’s success shows the account is valid but the web and Mac clients are filtering, moving, or blocked from syncing correctly.
