Syncing Microsoft bookings with Calendar times

I have recently set up Microsoft bookings to make it easier for people to book time in my calendar.

I have set up my hours to be booked from 8:00 am to 5:00 pm Eastern time for external people, I have created the booking link, but when it is sent to people, it seems to be calculating the time based off +0:00 - so the time in London, England.

My calendar is set to EST, the link says all times are in EST, but the people receiving te link can only book from 3:00 am to 12:00 pm EST - Everything is shifted back 5 hours. There seems to be no way to calibrate these 2 things, and the only option seems to be to shift my availability 5 hours forward (1:00 pm to 10:00 pm EST) to get the calendar to show the proper times.

Can someone help me rectify this.

    Hi @Kevin Vos,

Thank you for posting your question in the Microsoft Q&A forum.

According to your concern, this issue happens because Bookings has two separate time zone settings that don't always match by default:

    • Bookings calendar which use the time zone of your Outlook web and configured in Settings > Outlook Language and Time settings

    User's image

    • Booking page calendar which use a separate Booking page region/time zone setting and configured in your booking > Booking page > Region and time zone settings

    User's image

Therefore, to ensure the booking page's timetable always syncs correctly with your calendar time, you just need to go to your booking > Booking page > Region and time zone settings > turn on "Always show time slots in business time zone".

    User's image

This setting will make your booking page always show all available time shots in your current selected time zone (Eastern Time in this case) no matter where the viewer is located or what their device time zone is. If you turn of this setting, the time slot will conform to the viewer's local time.

Hope the information may help. If you have any questions or need further assistance, please feel free to share them in the comments on this post so I can continue to support you.

Thank you for your understanding and cooperation. I'm looking forward to your reply.

Bookings is working as designed and the issue is caused by time zone settings, not by a need to shift availability.

To align what invitees see with the intended 8:00 AM–5:00 PM Eastern Time (EST):

    1. Confirm the booking calendar time zone
      • The Bookings calendar uses the logged‑in user’s Outlook on the web time zone.
      • Open Outlook on the web.
      • Open Settings (gear icon) and search for time zone.
      • Verify that Current time zone is set to Eastern Time.
      • If it is not, change it to Eastern Time and Save. This also updates the Bookings calendar time zone.
    2. Confirm the Bookings page time zone
      • Open Bookings from Microsoft 365.
      • In the left navigation, select Booking page.
      • Select Change language and time zone settings.
      • Set the current time zone to Eastern Time and save.
    3. Decide how invitees see time slots
      • On the Bookings page, there is a setting Always show time slots in business time zone.
      • If this is unchecked, visitors see slots in their own local time zone (for example, London). An 8:00 AM–5:00 PM EST window will appear as 1:00 PM–10:00 PM in London.
      • If this is checked, visitors see all slots in the business time zone (EST), regardless of their location.

To avoid the apparent 5‑hour shift:

    • Ensure both the Outlook/Bookings calendar and the booking page are set to Eastern Time.
    • Either:
      • Check Always show time slots in business time zone so everyone sees EST, or
      • Leave it unchecked and explain that visitors see times converted to their local time zone (no need to offset your availability manually).
