From my understanding, you are trying to delete an email and its attachment after it has already been read by the recipient, possibly due to being sent in error. If this is correct, unfortunately, Microsoft currently only supports recalling a message in limited scenarios (if the message is unread). In your situation, you can send a correction email to notify the recipients.
For future prevention, you may consider the following options:
1/ Enable “Undo Send” (Outlook on the Web)
This is the only built-in protection for outgoing emails in Outlook on the Web. This allows you to cancel the message within the selected time window.
Steps:
- Click Settings
- Go to Mail > Compose and reply
- Locate Undo send
- Set the cancellation period (maximum is 10 seconds)
- Click Save
2/ Set Automatic Delay for All Emails
If you use the desktop version of Microsoft Outlook, you can configure an automatic delay rule to hold all outgoing emails in the Outbox for a few minutes before sending.
Steps:
- Go to File > Manage Rules & Alerts
- Click New Rule
- Select Apply rule on messages I send
- Click Next (do not select any conditions so it applies to all messages)
- Check defer delivery by a number of minutes and set time.
- Finish and save the rule
After this, every email will be delayed automatically, giving you time to review or delete it from the Outbox if needed.
3/ Share Links Instead of Attachments
Instead of attaching files directly, upload them and share the file via a link in:
- Microsoft OneDrive
- Microsoft SharePoint
In case you send the email to the wrong recipient, you can remove access immediately
