Need help with Teams

We have been trying to use Teams, but we have 2 problems...

  1. We are trying to set a setting that allows a meeting to take place WITHOUT the host being on or starting the meeting. What are the steps we should use to set this up, because nothing is working? It always makes the host be in the meeting because it says "Someone will let you join into the meeting" every time.
  2. We are using Gmail, not Outlook...so we need to know the exact steps to get the Gmail Calendar plug-in.
  3. Finally, is there anyone who can screenshare with us to make sure it's set up right? We are all very confused, even after having 2 third party technicians try to set this up.

    I have outlined the specific steps to address your two core issues regarding meeting bypass settings and Gmail integration below. 

    Step 1: Allowing meetings to start without the host 

    The message "Someone will let you in" occurs because the Lobby is enabled. To allow participants to join and start the meeting without the host present, you must adjust the Meeting Options: 

    1. Create your meeting in Teams or via the Google Calendar add-on. 
    2. Open the meeting invite and click on Meeting Options (or Edit > Meeting Options > Meeting access). 
    3. Set "Who can bypass the lobby?" to Everyone. 
    4. Toggle "Allow participants to join before host" to Yes.
    5. Click Save. User's image

    Note: If these options are greyed out, your organization's IT Admin may have restricted this at the tenant level for security reasons. 

    Step 2: Installing the Microsoft Teams Add-on for Google Calendar 

    Since you are using Gmail, you can schedule Teams meetings directly from your Google Calendar by following these steps: 

    1. Go to the Google Workspace Marketplace 
    2. Search for and install the Microsoft Teams Meeting add-on. 
    3. Open your Google Calendar. On the right-hand sidebar, click the Teams icon. 
    4. Sign in with your Microsoft 365 work account credentials. 
    5. Now, when you create a new event in Google Calendar, you will see an option to "Add Microsoft Teams Meeting."

    Step 3: Regarding Screensharing and Direct Support 

    I understand you've been working with third-party technicians, and I sympathize with the confusion this causes. As a Community Support Coordinator, I provide technical guidance and official documentation through this forum. I do not have the technical capability to conduct remote screen-sharing sessions.

    If you need direct guidance to verify your setup, I recommend asking your IT Administrator to log into the Microsoft 365 Admin Center. From there, they can open a formal Support Request. A Microsoft Support Engineer can then schedule a meeting to provide detailed instructions on how you can perform the necessary steps.
