I own Microsoft Outlook for Mac

version 16.105.3 (26020123)

Mac OS Tahoe 26.2

When I choose to attach a file, the recent list is not current. In fact it is old. How do I clear and update this list?

    Hello Shawn ClarkWilt,

Thank you for reaching out to the Microsoft Q&A. I understand how frustrating it is when you try to attach a document you just worked on, but Outlook only offers you files from last week.

This issue typically happens because Outlook's "Recent Files" list relies heavily on the macOS Spotlight index. If that index becomes desynchronized or "stuck" on an old cache, Outlook will fail to update with your new files.

    Troubleshooting Steps

Step 1: Clear the System "Recent Items" List

Outlook for Mac mirrors the operating system's global "Recent Items" list. If that list is full or stuck, Outlook's list will be too.

    1. Click the Apple Logo in the top-left corner of your screen.
    2. Select Recent Items.
    3. Scroll to the very bottom and click Clear Menu.
    4. Restart Outlook.
    • Result: This clears the system-level database. When Outlook restarts, it rebuilds its internal list from scratch, catching the files you actually touched today.

Step 2: Check "Full Disk Access" Permissions

If Step 1 did not work, Outlook might have lost the permission to "see" your recent file activity. This is common after macOS updates (like your update to Tahoe 26.2).

    1. Open System Settings > Privacy & Security.
    2. Click on Full Disk Access.
    3. Check if Microsoft Outlook is in the list.
      • If unchecked: Check the box to enable it.
      • If missing: Click the + button and add Outlook from your Applications folder.
      • If already checked: Toggle it OFF, wait a few seconds, and toggle it ON again to reset the permission.
      • Restart Outlook.

    Step 3: Re-index Spotlight

If the list is still showing only old files, your Spotlight index (the search engine that powers that list) is likely corrupted.

    1. Open System Settings > Siri & Spotlight.
    2. Click Search Privacy (button at the bottom).
    3. Drag your Macintosh HD (or the specific folder where you save files) into this list.
    4. Wait 10 seconds.
    5. Select the drive/folder you just added and click the - (minus) button to remove it.
    • Result: This forces a re-index. It may take 10–20 minutes, but it will populate the "Recent" list with accurate data once complete.

I hope this information helps resolve the issue you are experiencing with your system. Please let me know if you need further assistance or if there are any other details I can clarify for you.

To update the list of files when attaching a file in Outlook for Mac, you can try the following steps:

    1. Clear Recent Items: Outlook typically maintains a list of recent files for quick access. To clear this list, you may need to reset the recent items in your Mac's system settings, as Outlook uses the macOS recent items list.
    2. Check for Updates: Ensure that your version of Outlook is up to date. Sometimes, issues with recent files can be resolved with the latest updates. You can check for updates by going to Help > Check for Updates in Outlook.
    3. Restart Outlook: After clearing the recent items and checking for updates, restart Outlook to see if the list refreshes.
    4. Use Finder: If the recent files list still does not update, you can manually navigate to the files you want to attach using Finder instead of relying on the recent list.

If these steps do not resolve the issue, consider reaching out to Microsoft support for further assistance specific to your version and setup.
