Additional calendar-related features and issues within Microsoft Teams for business

I understand how inconvenient it must be to have the Channel Calendar automatically send updates to the entire team when you’re only trying to adjust a personal or non‑meeting event. I also see how unexpected it is that Teams keeps converting these entries into online meetings by default.
When an item is created or edited in a standard Teams channel, it becomes a channel meeting that lives on the Microsoft 365 Group calendar associated with the team. Because channel meetings are visible to the full group, certain group‑level and meeting‑level settings can cause invitations or updates to be delivered to everyone’s inbox.
Two common settings lead to this behavior:
1/ “Send personal invites” (Teams toggle): When enabled, Teams sends a personal invite to all channel members plus any additional attendees you add.
2/ Microsoft 365 Group subscription settings: If the group is set to “Send copies of group conversations and events to group members”, or if individual users choose to "Follow in Inbox". Then Outlook will deliver copies of group event notifications to their personal inboxes, which can appear as mass meeting updates.
- Here are some workarounds to prevent these updates from going to everyone:
Option 1: When creating a channel event, leave the attendee fields empty or only add specific individuals if you intend for them to receive a personal invite.
Option 2: Turn off “Send copies of group conversations and events” (Admin setting)
Go to Microsoft 365 admin center.
Open Teams & groups > Active teams & groups.
Select the team’s Microsoft 365 Group > Settings.
Uncheck “Send copies of group conversations and events to group members”.
Save changes.
This stops Outlook from forwarding event notifications to all members’ inboxes. The event will still appear in the channel as usual.
Option 3: Stop following the group in Outlook (User setting)
For members who prefer not to receive these emails:
In Outlook for Windows, open the Group.
Click the Group name to open the group card.
Select “Stop following in inbox”.
This prevents group messages and event updates from arriving in the personal inbox, while still allowing the user to access the events through the channel or group calendar.
- For prevent events from automatically becoming Teams meetings:
If events are automatically picking up a Teams meeting link, it's usually caused by Outlook’s “Add online meeting to all meetings” setting.
To turn this off:
Outlook on the web and New Outlook:
Settings > Calendar > Events and invitations > Uncheck “Add online meeting to all meetings” > Save.
Classic Outlook for Windows:
File > Options > Calendar > Uncheck “Add online meeting to all meetings”.
Notes:
Channel Calendar items are always treated as channel meetings. Teams currently doesn’t offer a “non‑meeting event” option inside a channel.
If you need FYI‑style entries (vacations, print days, project notes) without invites or online meeting links, the best approach is: Do not add attendees.
Members can still view the group's calendar, but they will not receive personal invites unless they are added or have chosen to follow the group.
